2011 Volunteers
Volunteer Registration will open Monday April 18th at 6 AM.

You will be asked to register.  Last year’s registration has been removed.  
PLEASE follow the sign in guidelines below.  This will impact your nametag and calculation of points.

You will then see the 6 swim meets, Prelims and Finals.  Sign up for a minimum of 60 points per family.     
Select a meet.  Select a position.  Descriptions are below.  Click on Volunteer.  A drop box appears with 
a list of registered names.  Select your name.  Then choose the next meet.  Meets are divided into 1st 
and 2nd shifts.  You can sign up for 2 shifts in the same meet but it does make for a long night. Once a 
position has all the required volunteers, it will show FULL.  
You can print your list of assignments. An email reminder of your upcoming volunteer position will be 
sent to you before each meet.  Signups for each meet will close 5 days before each meet.  If you can’t 
fulfill your position, let VPs know as soon as possible.  They can help you find a new slot.  
Most Coordinator positions will meet your volunteer requirements. Contact the Board if you are interested 
in a Coordinator Position.  
Starter/Stroke Judge/Meet Director positions require a yearly stroke clinic.

Swim Team Job Descriptions
STROKE JUDGE 
Two from each team needed for each half of meet. Two additional from each
team required during Relay Events.Training: Must attend annual League clinic.
• Determines if swimmer completed entire swim event according to league rules and 
concerning the relay start, body position, arm stroke, leg kick, stroke order, turns 
and finishes. 
STARTER
Home meets only, minimum of one for each half of meet. 
Training: must attend annual League clinic.
• Determines that all lanes are properly filled with eligible swimmers for the event
• Determines that all swimmers are in proper start position in each lane
• Starts the event with an air horn or some other type of alarm. (Whistles are no longer allowed)
• Determines that all swimmers properly begin the event, disqualifies swimmers who did not.
 (False Start: Each swimmer 6 to 12 are given two chances, swimmers 13 & up are disqualified 
after only one false start.) 
ANNOUNCER
Home meets only – minimum of one for each half of meet.
• Announces individual events, plus disqualifications, as they occur and facilitates the meets. 
SCOREKEEPER
Two or three from each team needed for each half of meet.
• Keeps track of score at meets 
TIMERS
Nine from each team plus one backup timer for each half of meet
• Operates a stop watch on each swimmer in a lane
SCRIBE
Three from each team  for each half of meet
• Records time and Swimmer ID# on a time sheet and records DQ if applicable 
READY BENCH ORGANIZER
Every Meet
• Places swimmers for each event in order as listed on heating sheets
• Notifies Team Parent that swimmer is not at ready bench position 
AGE GROUP PARENT
Two to three for each age group, depending on size, works the whole meet
Training: Must attend training meeting for age group parents (1 or 2 offered in May during
 evening practices)
• Marks  ID # and events on swimmers’ hands
• Takes Roll before meet start to determine no shows
• Adjusts heats as necessary
• Keeps swimmers together in age groups
• Gets age group swimmers to ready bench before start of event
• Locates swimmers who are not in ready bench order 
CONCESSION WORKER
Home meets only
• Helps sell food to the swimmers and parents at each home meet
• Helps with set up and clean up of concession area 
SET-UP WORKER
Home meets – Monday AM and Monday PM shifts available
• Be available at pool to set up for meet, string flags, wire speakers, set up chairs, canopies, etc. 
TENT TRANSPORT
Transport Tents to and from away meets
• Pickup or large vehicle needed
• Help age group parents with set up and take down to insure tents are not damaged 
STATISTICIAN
Two per meet
• Computer experience required
• Enter Swimmers times from time cards into Hytek-Team Manager Software 
BACKUP VOLUNTEER
ready and willing to fill in for any missing volunteer position
• Help with volunteer check in  at start of shifts
• Help with age group parents hand marking during warmup
• replace no-shows in other positions as necessary
CLEAN UP CREWS
All families help out.  Home meets only, Monday PM approximately 30 minutes.
• Families with a last name beginning with A – I will stay for 1st home meet, J – R will stay 
for 2 nd home meet and S – Z will stay for 3 rd home meet.
• Take down flags, speakers, straighten tables, chairs, etc. Pick up all trash, lost and found 
items, put away canopies, put away lane towels, put away lake fencing etc.
